📘 Introduction to AI Agents

Welcome to the world of AI Agents — your new digital teammates designed to handle repetitive tasks, spot opportunities, and help your team work smarter, not harder.

🤖 What is an AI Agent?

An AI Agent is a smart assistant that performs tasks on your behalf using a combination of automation, data analysis, and artificial intelligence. These agents can monitor data, make decisions based on rules or patterns, and take action — all with minimal manual input. Unlike traditional automation (which only follows rigid rules), AI Agents adapt to changing data, interact with people, and even make recommendations based on performance or trends.

🛠️ What Can AI Agents Do?

Each agent has a specific job. Here are just a few examples of how they support your business:

  • Data Maintenance Agent
Keeps your database fresh by updating people and companies from social media and by contacting people to verify their status..

  • Client Reengagement Assistant
Finds past clients who’ve gone quiet and launches personalized campaigns to bring them back.

  • Competitor Intelligence Tracker
Monitors competitor job posts and client movements to uncover market gaps and new opportunities.

  • Compliance Guardian (UK/EU)
Flags missing documents, expiring consent, or potential GDPR issues — before they become real problems.

  • Consultant Coach
Reviews recruiter performance and shares personalized improvement tips based on team benchmarks.

  • CV Assistant
Updates and formats candidate CVs to match your agency’s brand standards.

  • Hotlist Builder Agent
Builds and refreshes candidate lists based on your criteria, keeping your talent pool ready.

  • Job Advert Agent
Automatically writes and posts job ads to the right boards — no manual effort needed.

  • Passive Candidate Sourcer
Finds and reaches out to potential candidates who aren’t actively looking but match your roles.

  • Referral Generator
Sends referral requests to placed candidates at the perfect moment, helping grow your talent network.

  • Relationship Intelligence Agent
Maps hidden connections between your team, candidates, and clients for warm introductions.

  • Talent Reengagement Assistant
Identifies previously unresponsive or declined candidates and runs campaigns to bring them back.

💡 Why Use AI Agents?

AI Agents allow your team to:

  • Save Time: Automate repetitive tasks that eat up your day.

  • Stay Ahead: Get alerts and insights before issues or opportunities arise.

  • Work Smarter: Use data to improve how you engage clients, source candidates, and manage operations.

They work alongside your team, not as replacements, but as assistants who help you focus on high-value work.

🧾 Why Creating AI User Accounts Matters

To activate and manage AI Agents effectively, you’ll need to create dedicated AI User Accounts. Each AI Agent operates through its own user profile, just like a real team member. This setup allows the system to:

  • Track agent activity separately

  • Assign specific roles and data permissions

  • Ensure accountability and security

  • Control what the agent can access or modify

By creating an individual AI User Account for each agent, you gain more control, better reporting, and cleaner audit trails.

🔐 Think of it like giving each agent a personalized ID badge — they’ll only see what they’re allowed to, and you’ll always know what they’re working on.

➕ How to Add an AI Agent to Your Account

Ready to activate your first agent? Here’s how to do it:

  1. Go to User Management

  2. Click on New User

  3. Select AI Agent as the user type

  4. Enter a name and email for the agent

  5. Specify the agent’s:

    • Roles

    • Modules they should access

    • Data privileges (what records the agent can interact with)

Once added, the agent will begin its tasks based on the permissions and modules assigned.

💡 Tip: You can manage or deactivate agents at any time from the User Management section.

If you’re just getting started, don’t worry — the next few help articles will walk you through each agent, how to activate them, and how to get the most value out of them.
