🧠 What is the “New AI Agent” Feature in the Users Section?
The “New AI Agent” feature inside the Users section allows you to create dedicated AI user accounts within your Recruitly workspace. These AI user accounts act like digital team members, each assigned to a specific AI task (like data enrichment, re-engagement, sourcing, etc.).
This structure enables clear ownership, better tracking, and a smoother handoff of responsibilities to Recruitly’s AI Agents.
🤖 Why Does an AI Agent Need a User Account in Recruitly?
AI Agents in Recruitly need their own user accounts to ensure clear logging, accountability, and future communication capabilities. Every action performed by an agent — whether it’s updating a record, enriching a profile, or adding a note — is tracked under its unique identity, just like any human team member. This helps your team understand exactly who (or what) made each change. As Recruitly’s AI Agents evolve to communicate directly with candidates and clients via email or messaging, having a dedicated account ensures those interactions are personalized, trackable, and well-managed. It also lets you control access, assign roles, manage permissions, and monitor agent activity in one centralized place — keeping your AI operations transparent, auditable, and seamlessly integrated with your workflow.
➕ Creating a New AI Agent User
To get started:

Go to User Management
-
Click on New User
-
Select the New AI Agent option
Then, fill in the following details:

Name of the AI user
-
Email address to associate with the AI agent
-
Role (Super, Team, or other custom roles)

Office and Teams the AI should belong to
-
Modules the AI has access to (e.g., CRM, Jobs, Marketing)
-
Data Privileges – which records the agent can view or edit
Once submitted, this AI user account is created and can now be assigned to an AI task.
👥 Managing Active AI Agents
All created agents appear in the “Active AI Agent User Accounts” section, which displays:

User Name

Mailbox associated with the AI

Assigned To – the specific AI Agent function (e.g., Data Maintenance Agent)

Created Date

Actions:

Edit User, Access Logs, Reset Password, Disable AI Agent

💤 Managing Inactive AI Agents
If an AI Agent is disabled, their record is moved to the “Inactive AI Agent User Accounts” section. Here, you’ll find:

Disabled Date

Actions:
