Using WhatsApp in Sequences

Overview

The WhatsApp action within Sequences allows you to automate WhatsApp messages to your contacts as part of your outreach or engagement workflow.

This means you can combine Email, SMS, Tasks, and WhatsApp into a single, structured sequence.


Where to Find It

When creating or editing a Sequence:

  1. Navigate to Sequences under Automations

  2. Create a new sequence or open an existing one

  3. In any step, click “Send WhatsApp” under Actions


How to Add a WhatsApp Message

Step 1: Add WhatsApp Action

  • In a sequence step, click Send WhatsApp

  • A message editor will appear within the step

Step 2: Choose When to Send

You can control timing using the “When” option:

  • Send Immediately – Message is sent as soon as the contact enters the step

  • After a delay – Set delays in days between steps


Step 3: Compose Your Message

You can type your WhatsApp message directly in the message box.

Use personalization merge tags such as:

  • Recipient First Name

  • Recipient Surname

This helps create messages that feel personal instead of robotic 🤝

Example:

Hi ${firstName}, just checking in regarding your application. Let me know if you’d like to discuss further!


Step 4: Add Attachments (Optional)

You can attach:

  • Images

  • Documents

  • Audio

  • Video

This is useful for:

  • Sending job specs

  • Sharing candidate profiles

  • Providing additional context

Termination Rules

You can control how replies affect the sequence:

  • After a reply, terminate sequence
    Stops the sequence if the contact replies via any channel

  • After a WhatsApp reply, terminate sequence
    Stops the sequence only if they reply on WhatsApp

This prevents over-messaging and keeps communication natural.


Scheduling Options

Control when messages are sent:

  • All Day (Any Time)

  • Weekdays Only

  • Working Hours (e.g., 9am–5pm)

This ensures your messages land at the right time ⏰


Time Zone

Set the appropriate time zone (e.g., Europe/London) to align message delivery with the recipient’s location.


Best Practices 

  • Keep messages short and conversational

  • Avoid sending too many WhatsApp messages in a short time

  • Combine WhatsApp with Email follow-ups for better response rates

  • Use personalization tokens to increase engagement

  • Enable termination rules to avoid spamming
